Assess the needs
 Find a project
 Respond to a real need and not an
imagined one
 Follow someones project
 Follow last years project
 Receive a request for a project
 Club leadership pet project
 Brainstorm one
Planning
 Very important
 Clearly defined goals and objectives
with preferably measurable results
 Realistic and manageable scope
 Agree time frame to complete project
 Step by step strategy
 Establish a proper budget
 Effective use of available manpower

 Statement of income and expenditure
 Expenditure: Donation in kind
 Income: Fund raising
 Sponsors
 Matching grants from The Rotary
Foundation
 Project grants from ROTAFOM
 Internal : Club and members
Matching grants
 For humanitarian projects that promote
international understanding and peace
 Involves an international sponsor
 Host sponsor contribute 25%,
international sponsor 25% and TRF 50%
 Can be in many other combination
 Minimum cost of project USD10,000
 Rotaract club and district eligible to
apply
Human resources
 Involve all club members if
possible
 Joint with other clubs or district

 People who are going to benefit
from the project
 Family and friends
 Prepare proper schedule of duties
Implementation
 Appoint a project head who is
responsive and organised
 Appoint a project committee
 Involve all if not the majority of
members
 Involve the community where the
project is carried out
 Make sure all participants are informed
 Have good promotion and publicity
Evaluation (and reporting)
 On completion of the project
evaluate the goals achieved.
 Note the failures for future use
 Catalytic effect on your project and
other projects
 Prepare a set of accounts
 Recognise and thank contributors
 Prepare a final report if there is a
need
