Why is it Frequently Skipped?

• Team members are redeployed to other projects


• We are over budget and cannot invest any more in
this project
• Team is still fixing issues that surfaced during
execution and launch
• Team is exhausted…put all their effort into finishing
and don’t have much energy left for final formal
closure

What To Include In A Project Reflection?


1.General Project Assessment
To be completed by the PM, Team Leads, Client, Sponsor, individually or as a
group, at the end of the project lifecycle.

1.1 Post Project Review Summary


Provide a high‑level assessment of the project in terms of successes and
challenges.

1.2 Project Assumptions & Risks


•Identify key assumptions made and list risks that would assist in understanding
cost and/or benefit anomalies.
•Were those assumptions valid or invalid?
•What was the effect of making the assumption?
•What was the outcome of each risk identified?

1.3 Recommendations for Future Projects


•Describe key areas that worked well, which future projects could benefit.
•Explain how to address/avoid significant problems/issues that arose.
•Share your successes and opportunities for improvement so the department
can improve. What would you do differently?

How To Facilitate A Project Lessons Learned?

The Project Manager MUST:

• Talk to everyone ahead of time


• Send out a template before meeting, so people know exactly what
questions will be asked and people can think about it
• Give people ownership and opportunity to share their own thoughts
• Encourage a “relaxing” or comfortable environment for discussion
• Identify multiple or “Shared” owners for mistakes
• Provide confidentiality in offering “honest” suggestions
• Circulate the report to stakeholders ahead of time to review
• Show commitment to action
