REQUEST EMAIL?
It is essential that you explain what you want
clearly and ask them in the right way when you
are doing a business with someone.

You will increase the probability of the person


receiving it saying no, becoming
angry/annoyed with you or being confused if
you did not do so.

Fortunately, writing a good and effective formal


email of request is easy to do when you
understand what makes a good one and why.
Tips on Writing Request Email
1. Organise the letter clearly into:
• The reason for writing
• The nature of the problem
• The outcome you would like
• An apology for the inconvenience

2. Do not go into too much personal detail


when explaining the problem, as this is a
formal situation with a person you do not know
well.

3. To make polite requests use the phrase

I would be grateful if you could …

4. Using nouns instead of verbs can make your writing


sound more formal. For example, instead of

My circumstances have changed, say There has been


a change in my circumstances.

5. To sign off, you could :

Use Yours sincerely, if you know the


person's name

And use Yours faithfully, if you do not


know the person’s name

would you. Note the different levels of
politeness:
Adverbs such as also and therefore can be inserted
into a request as follows:

• I would also be grateful if you could send me … .


• I would therefore be grateful if you could send
me … .
• Could you therefore please send me … ?
• Could you therefore send me … ?
Sample of Request Email
Dear Ms Leitman,

I am writing to request your help following a change in my circumstances.


As you know, I am enrolled on the Basic Spanish course at your college, which starts in September. However,
due to unforeseen family events, I have had to leave the country for a while to assist my parents in Hong Kong.
At present it is not clear when I will be able to return and unfortunately I will not be able to start the course as
planned.
I would like to request a refund for the course fees already paid. I apologise for the short notice and for any
inconvenience caused. In the event that a refund is not possible, I would be grateful if you could postpone my
enrolment until my return.
Thank you in advance for your help and I hope to be able to update you on the situation soon.

Making More Than One
Request In a Letter / Email
If you make two requests in a letter or email, the second request
should include the word also, as we can see here:
Dear Mr Smith
I recently saw an advertisement for your new range of kitchen equipment.
I own a small retail shop selling household goods and am interested in buying some of your new
products. Could you therefore please send me your price list? [first request]
I would also be grateful if you could include details of delivery and postage. [second request, with also]
