Main Definitions

Stock Management - the function of understanding the stock mix of


a company and the different demands on that stock.

Stock- all products which are referred to the store.

Box Acceptance report - report used for creating a detailed


delivery record (time, the number of boxes, etc.) of boxes delivered to the
stores on the system.

Box Reconciliation report - report used for creating a detailed


expedition record (time, the number of boxes, etc.) of boxes sending from
the stores on the system.
Main Definitions

Shipment types:

Actual movement - are the movements between any warehouses


(central warehouse, stores etc.) which include actual products and have
TTN number.

Followings are some examples for actual movements;

 Shipment from central warehouses (MR, CD, DC etc.) to stores,


 Transfers between stores,
 Defected, prohibited Items boxes from stores,
 Customer requests between stores,
 Returns to ID warehouses, etc.
Main Definitions

Virtual Movements - are the movements for manual stock correction


operations between warehouses and movements to fix store stock after
distributing staff uniforms or delivering sponsored products to media
enterprises etc.

Followings are some examples for virtual movements;

 Shipment corrections of main warehouses (SD, DD etc.)


 Return and defected corrections of central warehouses (ID, DU, RC)
 Transfer corrections between stores (XX01, XX02 etc.)
 Products given to the media enterprises and legal authorities (MD, PR)
 Staff Uniforms given to employees (PKD) etc.
Main Definitions

Systematic user’s names:

Otosevk: It’s a systematic user name meaning that the


movement from the store is generated by the system
automatically.

OtoKabul: It’s a systematic user name meaning that the


movement to the store is generated by the system
automatically.

MgzTransfer: It’s a systematic user name meaning that the


expedition is created through the Store Partial Screen.
*all this users name are used while tracking shortage/surpluses in acceptance/expedition processes

After approving the document the user will not be able to change any details on
the reception and all automated stock correction operations will be generated
based on the approved document. Therefore it is important to be ensured that
the scanning operations are completed properly and there aren’t any
scanning mistakes.

Why do we use this report?


3.4 Missing box
 The system assigns a latest delivery time for each box sent to the store from any
central or store warehouses. The lead time is now fixed as 30 days for each box on
the system but in the future it will differ depending on sender and receiver
warehouse combination and cargo firm contracts.
 If a box is sent to the store and even though 30 days passed, it is still not delivered to
the store then the box status will be updated as missing box and a notification mail
will be sent to all concerned.
 After receiving the notification mail, both the sender and the receiver should start
to research to find where and how the box is lost. The research time limit is fixed as
30 days.
 If the box is delivered to the store within the research period, the store can receive
the box and execute the box reception process as it is stated in “Cargo Box
Reception” chapter. Missing box status for this box will be omitted on the system
and the reception operations can be continued as an ordinary reception process.
 But if the research time is up and the box is still not found and not delivered to the
store, the box is automatically accepted by the store and then resent to the relevant
warehouse by the system.

4.1 Depo/Rayon separation

7.1 Automatic stock corrections
movements

Automatic stock correction operation is valid only for actual


movements. Even there are missing or extra scanned products in an
approved document, if the movement is virtual, no automatic stock
correction movement is created.
 Automatic stock corrections movements are two-sided; on the one
side a movement based on the missing products in the
approved documents is generated from the receiver warehouse to
the relevant correction warehouse, on the other side another
movement based on the extra products in the approved
documents is generated from correction warehouse to the receiver
warehouse.
 Correction warehouse differs depending on sender warehouse.
Below table you can see assigned correction warehouses
depending on sender-receiver warehouse combination;
