Presentation Phase
- The purposes of the Presentation Phase :
1 – To obtain a commitment to follow
a course of action for initiating an
alternative.
2- To ensure that the written
proposal is correctly understood to
the decision maker.

Presentation Phase
Effective Presentation Should:
-Describe the workshop objectives and scope.
-Identify the team members and recognize their
contributions.
-Describe the “before” and “after” conditions of
each alternative.
-Present the costs and benefits / advantages and
disadvantages/ impact of each alternative.
- Identify how to overcome roadblocks.

Presentation Phase
Effective Presentation Should:
-Demonstrate the validity of the data sources.
-Suggest an action plan and implementation
schedule.
-Last no longer than 20 minutes with time for
questions at the end.
- Be illustrated using models, graphs, and tables.
- Be supported with sufficient backup material to
answer all questions.

Post Presentation Activities Should:
-Answering additional questions.
-Collecting of additional data.
-Review of supporting documents.
-Involvement of other decision makers.
-Preparation and submission of final workshop report
with the necessary documents.
-Briefing to other key stakeholders.
- A schedule for a follow up meeting to approve the
proposal.

Implementation Phase
Implementation Phase:
-The purpose of implementation phase is to obtain
final approval of the proposal and facilitate its
implementation.
-Activities of the Implementation Phase:
-Prepare a written report.
-Enhance the probability of approval.
-Monitor progress.
-Expedite implementation.
- Follow up.

Implementation Phase
Prepare a written report:
-The results of the VE study should be documented,
oral report can be forgotten.
-Decision should be based on a supportive
document.
-Final report should:
-Satisfy questions the decision –maker is likely to
ask.
- Provide assurance that approval would benefit the
organization.

Implementation Phase
- Final report should:
- Include sufficient documentation to warrant a
favorable decision with reasonable risk factors.
- Show how performance is not adversely affected.
- Be accompanied by a team letter summarizes the
recommendation and action plan.

Implementation Phase
- Enhance the Probability of Approval:
- It is advisable to discuss the change with the
decision makers both before and after submitting
the final report.
- It is helpful to implement meeting with all
stakeholders, this can greatly help to overcome
the potential roadblocks.

- Monitor Progress:
- A person could be given the responsibility of
monitoring deadline dates in the implementation
plan and the process for obtaining any
implementation funding.

- Expedite Implementation:
- The VE team should be called to provide
assistance and resolve problems that may
appear.
- VE should prepare the first drafts of documents
necessary to revise specifications, drawings,
change orders, and contract requirements.
- VE team should review all implementation
actions.

- Follow Up:
- Obtain copies of all complete implementation
actions.
- Compare actual results with original
expectations.
- Submit cost savings or other benefit reports to
management.
- Submit technical cross-feed reports to
management.

- Follow Up:
- Conduct a lesson learned analysis to identify
problems encountered and recommended
corrective actions for the next projects.
- Initiate recommendations for potential VE study
on ideas evolving from the study just completed.
