The presentation is going to focus on business writing which is a type of


writing used in a professional setting. We will be looking at Press releases,
Circulars and Plain English in corporate communication.
Press releases
• According to Chritianna Cannon(2018)Press releases is an official
announcement that informs the media of important news about your business.
• A press release is a piece of news or information that companies send out to
inform the public and the press about something noteworthy or of material

Advantages of Press releases
• Cost effective-They can be a cost effective way to generate publicity for a
business as they can be distributed through online press release
distribution services or send directly to targeted media outlets without the
need for expensive advertising.
• Wide reach-press releases have a potential to reach a large audience
through various media outlets for example newspapers, margazines and
social media platforms

of information as compared to advertisement or promotional materials.
Media often republish or feature press releases landing them credibility. It
focuses on reputation of the organisation.
Disadvantages of Press Releases
• Limited control-Once you distribute a press release, you relinquish some control
over how it is presented .Media outlets may edit or omit certain parts of your
release ,potentially altering the intended message.
• Time sensitivity-Press releases are time sensitive especially when relating to
news or current events.If your release is not distributed or picked up quickly ,it
may be become less relevant or outdated.
• Oversaturation-With so many businesses using press releases as a promotional
tool,it can be challenging to stand out in sea of similar announcements.Your
release may get lost or overlooked amidst the shear volume of information being
disseminated.
Circular
 A circular is the official communication medium which a business
organisation communicates. It is also a letter which is given to audience.
It has four components which are head, opening, text and signature.
 A circular is essentially a letter containing some important information
that is distributed to a large number of people. For example you invite an
entire department for a meeting or update the dress policy for the whole
office –a circular will be the best of communication for these purposes.
Advantages of circulars

• Is the easiest method for conveying information to a large group of


people.Circulars play on important role in the growth,development ,and
smooth working of any business.The information can be conveyed at a gender
level at cheap rates.It is also useful in producing prompt feedback from the
respondents.
• Circulars can be used for wide publicity.To convey the news related to
product,service,or customers,circulras are used as they help to expand the
business and the market base of the company.As a result,the large amount of
money that would have been used in sending separate letters can be used.

• It is time-saving method since any important information can be transmitted
to a large group of people at the same time.Hence it saves a lot of time as the
information can be sent separately to different people by company
officials.Circulars can be displayed on the notice board of the
workplace.Therefore this method becomes very convient for companies.

information can be given to hundred people thereby reducing printing costs
as well as distribution costs of information per reader.This method therefore
saves a lot of money for better purposes.

• Environmental impact-The production and distribution of circulars
contribute to paper waste and potential harm to the environment.
• Difficulty in measuring effectiveness- It can be challenging to track the
exact impact of circulars on sales or customer engagement ,making it
harder to evaluate the return on investment.

• It is defined as mode of writing or speaking the english language intended
to be easy to understand regardless of one`s familiarity with a given topic
• It is language that avoid obscurity,inflated vocabulary and convoluted
sentence construction

• Is how companies share information to internal and external audiencies
and engage these audiences in a bid to manage brand perception

• Reduces misunderstanding
• Plain English gets your message across in the shortest time possible
Disadvantages of Plain English in corporate
communication
• Not sufficiently accurate –Sometimes,different words have the same
meaning
• It is not just about plain words and short sentences.It involves all the
techniques for clear communication.
