A. Logging in FFC

1. Access to Fair Factories Clearinghouse (FFC) portal at


https://labs.fairfactories.org
2. Enter Username and Password
3. Click Log in

4. After logging in, Factory Information page will be shown up.


B. Initial Assessment
I. Viewing Assessment Dates

1. Click Calendar on the left panel.


2. The assessment date will be shown on Calendar. To check assessment day’s detailed information,
please click on the factory name.

3. After clicking on the factory name, factory can access to All Findings page
4. In Assessment General Information page, factory can check Assessment ID, Discipline Name, Date,
Auditor, and Lead Monitor(s).

II. Completing and Submitting the Pre-Assessment Questionnaire

1. To complete the Pre-Assessment Questionnaire, please access the Self-Assessment tab,


and then choose the questionnaire ID.

2. Switch the tab from Assessment General Information to Findings Page, then answer
all
required questions on the right-hand side.

3. After answering all the required questions, factory users switch back to the
Assessment General Information page and mark the Assessment Status (Pre-
Assessment Questionnaire) as Complete.

III. Reviewing Assessment Report

1. Choose Assessment Related tab, then click on Assessment ID

2. Access to Findings Page, then click on Print to


PDF

3. The Assessment Report window will pop up; factory users will choose one of the disciplines
that
the report belongs to.

4. Click on Generate PDF to get the report under PDF


format.

IV. Full Assessment Report

1. Factory users go to the Assessment Related tab, then choose a specific discipline.

2. On Assessment General Information page, scroll down to the section of Upload


Files and Photos. Search “report” in the Search box to get the Full Assessment Report.

V. Updating CAP Remediation Progress

1. After accessed to Findings Page, switch the Open Issue Status to Open so all issues found in
factory will be shown up.
2. Choose each of the issue in Sub Issue Detail to update CAP.

After clicking on Sub Issue Details, CAP detailed information will be shown on Edit Finding. There are 3
sections will be displayed.
1. Issue Information. This part is conducted by IF and no changes will be made by the factory user.

2. Factory

a. CAP Completed*: When Progress% is marked as 100, the


toggle bar will automatically switch to Yes
b. CAP Date: The date that Factory starts writing CAP
c. Date CAP Completed: The day that remediation action of a
specific issue completely taken by factory, this will be done
as per IF
d. Responsible Person: A person who is in charge of handling
a specific issue.
e. CAP: corrective action that is planned by the factory.
f. CAP Signed off status/Comments*: IF will sign off or
discard Factory CAP and provide their comments. After IF
marked the status as Signed-off, CAP box will be locked and
unavailable for editing for all user roles.
a. Any additional comments after CAP sign OFF can be
mentioned in Progress Comments Section.
g. Design and drawing required*: Design and drawing
required for a specific issue.
h. Approval of the Design/Comments*: IF will approve or
discard the design and drawing uploaded by factory, and
provide their comments
i. Upload Design and Drawings: Design blueprints or
drawings will be uploaded here.
(*): These actions will be taken by IF.

2. Factory (Cont’d)
j. Progress%: how many percent that CAP has
been completed
k. Progress status: Factory updates their
remediation status
• In Progress: CAP Remediation is
on going
• Pending Verification: CAP Remediation
has been completed but IF’s follow up
visit has not been conducted to check the
remediation result
• Corrected: CAP Remediation has been
completed by factory and gotten
approval from IF after their follow up
visit.
l. Progress comment: Factory provides their
comment

m. Action Taken: Action(s) that is (are) done by

3. Action Verified Details. IF will put their comments on factory’s CAP remediation result.

VI. Downloading CAP

1. On Findings Page, choose Print to PDF

2. Choose CAP Details Report to review CAP report. After that, click on Generate PDF to
download
it as PDF file

3. As of now, factory users can check CAP


report which includes assessment photos
uploaded by IF, and remedial photos uploaded
by Factory users.

*Note: Evidence photos uploaded by Factory and IF


will be placed in the same Photo(s) section instead of
separate sections.
C. Safety Training
I. Complete Pre-Safety Training Questionnaires

1. To complete the questionnaires, access to SMV Audits tab, click on the questionnaires ID to
complete the questions

2. After choosing the ID, All Findings page will pop up with 2 main tabs
a. Assessment General Information
b. Findings Page

3. Answer all the questions in Findings Page tab.


4. When all questions are answered (the answers will be saved automatically), then the status bar
will be marked as 100% Complete

5. The assessment status will be marked as Complete once the STF uploaded the training
report.

1. Factory users go to the SMV Audits tab, then choose a specific discipline.

2. On Assessment General Information page, scroll down to the section of Upload Files and
Photos
to get the Safety Training Report.
D. Downloading Follow-up Visit Report

On Assessment General Information page, scroll down to the section of Upload Files and Photos to get
the Follow-up visit report. Full Follow-up visit report will be uploaded for all 3 disciplines so factory user
can go to whichever discipline that they would like to and get the report, which has same content.
