Project Case Study

Introduction
• His Highness the late Sheikh Zayed bin Sultan Al Nahyan once said, "A nation without a past
is a nation without a present or a future," emphasizing the significance of heritage and unity.
• In today's rapidly evolving global landscape, business process improvement methodologies
are essential for enterprises seeking a competitive advantage.
• Effective management of intellectual capital, aligned with quality management
methodologies, drives sustainable success for top-performing companies.
• As a newly joined academy’s team member, I suggested a platform/tool to compliment the
overall solution in this presentation .This presentation will briefly highlight different types of
business processes, methodologies of business process improvement, and the suitable
methodology for DFF Academy.
Business Process

• A business process is a set of activities or tasks performed and completed


by people or systems to achieve a business objective.
• The success of business operations and growth is directly influenced by
the efficient and streamlined execution of business processes.
Types of business processes:
• There are three types of business processes. Core processes or operational
processes, support processes, and management processes.
Business Process Improvement (BPI) or
Continuous Process Improvement (CPI)
• BPI is the practice of making positive changes in business processes to improve
their efficiency and efficacy.
• Process improvement methodologies or techniques involve a systematic approach
where current processes are analyzed and adapted to optimize productivity, align
with new business requirements, and streamline workflows to reduce costs and
boost revenue.
• The most common methodologies are Six Sigma, the PDCA Cycle, Lean Six
Sigma, Kaizen, Total Quality Management (TQM), the Theory of Constraints,
Business Process Management (BPM), and Business Process Automation (BPA).
Six Sigma Methodology

• The Six Sigma method is one of the most famous modern management concepts and was
developed by Bill Smith in 1986.
• This method is based on the foundations of quality and achieves the highest level of
comprehensive quality in the administrative operations of institutions.
• Therefore, Six Sigma represents an orientation administratively; it seeks to achieve higher levels
of quality, and it has become one of the most successful ways to develop business processes as it
helps in finding solutions to many problems and works for the improvement and development of
business outcomes.
• After thorough research, according to my view, I suggest Dubai Future Academy adopt Six Sigma
to enhance processes, optimize efficiency, and foster innovation, aligning perfectly with their
pursuit of excellence.
Six Sigma Methodology

• Six Sigma methodology utilizes the DMAIC model (Define, Measure,


Analyse, Improve, and Control) to minimize process variability by
focusing on innovation and, ultimately, customer satisfaction. (Ifrim et al.,
2020).
• Before adopting a process improvement methodology or strategy, we will
identify the process improvement needs that are currently present within
the Dubai Future Academy.

Planning
• Determine which processes need to be improved by mapping out the current process,
identifying bottlenecks, and finding the areas that require optimization in Dubai
Future Academy, like training course planning, schedule, etc.
Designing
• Define the ideal state of the business processes in Dubai Future Academy, then
compare between the ideal state and current state based on results design and develop
the business processes. As there is no existing system for its processes, Dubai Future
Academy must start with an initial state design.

Modelling
• Produce a visual representation of the new business processes of Dubai
Future Academy using flowcharts and UML diagrams.
Execution
• Practicing the new business processes, including implementing system
changes. As there is no existing system for its processes, Dubai Future
Academy must start with initial state execution and training employees.

Monitoring
• Performance tracking and identifying areas that need improvement include
activities like running the registration processes of course participants, tracking
progress, updating the website, managing payments, coordinating with different
departments, taking care of logistics, and more.
Optimizing
• Modify the new business processes of automation at Dubai Future Academy to
enhance performance. It is a continuous process, and it is important to repeat this
regularly.

• As the new team member responsible for the backend of program
operations at the Academy, I propose a comprehensive solution to
efficiently manage the entire training program, encompassing pre, during,
and post activities.
• Given the lack of an existing system, the solution will involve the
introduction of suitable platforms and tools to streamline and automate
processes effectively.
Pre-Training Activities

• Gather requirements by storytelling: In collaboration with the clients, I will gather


requirements and create high-level stories.
• With management, I will break down these stories into independent chunks.
• With the full team, I will hold an Iteration Planning Meeting (IPM) to confirm
assumptions and decisions with the client.

• Online Registration System: I will Implement an easy-to-use online registration


platform like Google Forms or Type form to capture participant information, course
preferences, and payment details.
Pre-Training Activities

• Participant Database: I will Set up a secured cloud-based Customer Relationship


Management system (e.g., Salesforce or HubSpot) to store and manage participant
records securely. This will enable efficient data retrieval and analysis.
• Automated Email Communication: I will Use email marketing tools like Mailchimp
or Send in blue to automate communication with participants. This includes sending
confirmation emails, course details, and reminders.
• Payment Processing: I will Integrate a secure payment gateway like PayPal or Stripe
to handle registration fees and ensure smooth transactions.
During Training Activities

• Learning Management System (LMS): I will Adopt a feature-rich LMS platform


such as Moodle or Canvas.
• It will allow instructors to deliver course materials, conduct assessments, and
engage with participants in real-time.
• I will Improve training programs by creating an exceptional learning experience by
using VAK Learning Styles and VR which will reflect on memorizing and
remembering the training program effectively. I will Use VR technologies to
demonstrate required environment in training sessions efficiently.
During Training Activities

• Attendance Tracking: I will Utilize the LMS to record participant attendance and
track their progress throughout the training. This will provide insights into
participant engagement and performance.

• Communication and Collaboration: I can facilitate real-time communication between


participants, instructors, and support staff within the LMS. This can include
discussion forums, chat features, and video conferencing tools. Also training
sessions are published separately as a podcast or visually recorded videos - so
participants can go through past training sessions whenever needed.
Post-Training Activities

• Certificate Generation: I will Automate the certificate generation process using the
LMS. Participants who successfully complete the training will receive digitally
signed certificates instantly.
• Feedback and Evaluation: I will Implement survey tools like SurveyMonkey or
Google Forms to gather post-training feedback from participants. Analyze the
feedback to identify areas for improvement.
• Alumni Engagement: I will Establish an alumni network through social media
platforms or a dedicated online community. This will foster networking, knowledge
sharing, and potential future collaborations.
Logistics and Coordination

• Project Management Tool: I will Utilize project management software like Trello or
Asana to coordinate tasks and deadlines across different departments involved in
training operations.

• Collaboration Tools: I will Encourage seamless collaboration between team


members using communication tools like Slack or Microsoft Teams.
Lean Six Sigma-Successful Industries

• Lean Six Sigma has affected many industries in a dramatic way.


• Research shows that Effectiveness surged by 33%, efficiency by 0.03, and
labor productivity rose from 88.89 to 133.33, yielding significant
improvements. (Ifrim et al., 2020).
• According to the lean event leader, the immersive and collaborative
environment led to a 50 percent faster decision-making process on crucial
matters. Moreover, the session concluded in 30 percent less time
compared to a traditional workout, significantly boosting productivity.
Lean Six Sigma-Successful Industries
• Gulfstream Aerospace Corp. achieves a significant milestone by completing its 1,000th
auxiliary power unit (APU) repair. Their efficiency models, refined through Lean Six
Sigma, have led to remarkable reductions in repair time over the years
(GoLeanSixSigma.com, 2020).
• The education sector has applied Six Sigma in teacher evaluation, training, student
assessment, and curriculum design to enhance efficiency and effectiveness. (knowledge
hut,n.d).
• Millikin University MBA students partnered with Caterpillar to use Six Sigma for
process improvement, saving over $200,000 annually with an efficient supply
monitoring system. (GoLeanSixSigma.com, 2020).
Lean Six Sigma-Successful Industries

• Applying the DMAIC-IM methodology resulted in improved


organizational efficiency, effectiveness, and productivity through the
development and implementation of effective solutions. (Ifrim et al.,
2020).

• According to the research conducted by Douglas and others, the benefits


of LSS are given in the following table: Table 1.

Benefits Of Lean Six Sigma

• Efficiency and Time Savings: Automation reduces manual tasks, leading to more
efficient processes and time savings.
• Data-Driven Decision Making: Centralized data storage enables better analysis and
data-driven decision-making to enhance training effectiveness.
• Enhanced Participant Experience: A user-friendly registration process, interactive
learning, and timely communication improve participant satisfaction.
• Scalability: The solution can accommodate increased training demands and is
scalable for future growth.
Benefits Of Lean Six Sigma

• Lean Six Sigma (LSS) can be easily implemented in Dubai Future


Academy based on the involvement of Dubai Future Academy
management, organizational structure, and a change in Dubai Future
Academy culture.
• Based on the analysis from research and experts opinions, considering the
organizational adoption benefits of LSS with case studies and examples, I
suggest implementing LSS to complement the overall solution of Dubai
Future Academy.
