WRITING A RESUME,
AN APPLICATION LETTER, AND
OFFICE CORRESPONDENCES

OBJECTIVES:
At the end of the lesson, you must:
• Identify the parts, purpose, and guidelines for
writing a resume, application letter, and office
correspondence.
• Write resume, application letter, and office
correspondences for specific purposes.
RESUME
A resume is a document used to present a person's background and
skills. It can be used for different reasons, but the most common
purpose of a resume is for employment.

A resume's content will vary according to the purpose of the


applicant and the nature of the job applied for.

Standard Resume Guidelines:
1. Contact Information - complete name, full current address,
phone numbers, e-mail address.
2. Goal/Objectives - tell the employer the specific job
position that you are applying for. Be specific and direct to
the point.
3. Qualifications - focus on your selling point. Why should
the employer hire you. Be realistic and factual.
4. Educational Background - educational attainment and
trainings related to the job. (name of school, degrees attained,
certificates received, important dates, honors and awards
received, and other extra-curricular activities.
Standard Resume Guidelines:
5. Work Experiences/Special Skills - provide your work
history in chronological order (most recent-oldest). It may
include both full time and part time jobs as well as OJT. Do
not include not related work experiences. If fresh graduate
with little work experience, highlight your skills and other
special abilities.
6. References - state "References are available upon request".
It should include people you have professionally worked
with, not friends/relatives. Inform each person that you have
included them in your list of character references.

a. Be consistent with your formatting
b. Do not use fancy fonts. Be consistent with your font size.
c. Observe correct alignment, margin, and spacing.
d. Highlight important information like name, school, and
degree by using bold font or italics.
e. Avoid wordiness, redundancy, and faulty parallelism.
f. In writing information, avoid writing in complete sentences
with pronoun I. Start right away with verbs or adjectives that
will highlight your skills and abilities.
APPLICATION LETTER
An application letter, also known as cover letter, is a document that
provides additional information about a job applicant. It is sent to the
employer together with the resume as an attachment.

The main purpose is to provide a more detailed information about your


preffered job position, qualifications, reasons for choosing the company or
organization,and relevant skills and work experiences in order to secure an
interview with the emloyer.

OFFICE CORRESPONDENCE
An office correspondence is commonly known as business letter. It is a formal
type of written communication used by professionals. Office correspondence
normally takes place between employees and employers. These are also written to
communicate with clients and customers in a professional manner.

It should be specific and concise, straight to the point, use clear and simple
language, and should consider the elements of time, objectivity, and correctness.

OFFICE CORRESPONDENCE
A business letter may use any of 3 standard formats: block, indented, or
modified block form.
The commonly used office correspondence are letters of recommendation,
acknowledgement, inquiry, request, complaint, apology, and resignation.
Business letters consists of the same parts. However, the content varies
depending on the purpose of the writer.

PUSPOSES OF A BUSINESS LETTER

1. RECOMMENDATION - focuses on the


professional relationship between the applicant and
the sender and the positive points that may convince
the receiver to consider the application.
2. ACKNOWLEDGEMENT - also known as letter
of receipt. Written to express acceptance or receipt
of a prior correspondence. The sender lets the
receiver know id an action regarding his request,
complaint, or inquiry has taken place.

3. INQUIRY - ask specific information. The sender


should be specific with his question and identify
exactly the kind of information needed.
4. REQUEST - ask particular information,
permission, favor, or service.
5. COMPLAINT - express a problem, discontent, or
protest. It tends to have strong content. Rude or
harsh language should never be used regardless of
the nature of the complaint.
PUSPOSES OF A BUSINESS LETTER
6. APOLOGY - written as an expression of regret and
intention to make amends for a mistake of infraction
committed. Reason should be explained and specific
way to resolve the situation must be provided.
7. RESIGNATION - written by an employee who
wishes to formally leave his job position. It should
include the reasons and the future career plans,
appreciation for the work experience and opportunities
provided by the company, and the exact date the
resignation will be effective.
Conclusion
Writing an impressive resume and application letter will help an
aspiring applicant to get accepted for his preferred job. Similary, office
correspondence or business letters should be written according to the
standard format, puspose, and content. Effective use of office
correspondences will ensure smooth business transactions,
administrative operations, and internal abd external communications.
