Hospital Management

system
ANNE KWAMBOKA
Background

 The hospital system is like a smart computer program that helps with
everyday tasks in a medical center. It takes care of things like keeping track
of patients, records, treatments, and bills. It also handles important details
about the hospital, like which doctors are in charge and the different
departments. The main goal of this project is to make the front office of the
hospital computerized, meaning using a computer instead of paper. The idea
is to create software that is easy for anyone to use, quick, and doesn't cost a
lot. This system will make it simpler to collect information about patients and
their diagnoses. Right now, the hospital uses a manual system, which involves
a lot of paper forms. This can lead to problems, like missing information or
having different copies of the same information in different places. The new
system will fix these issues and make managing important medical
information much better.
PROBLEM STATEMENT

 Maintaining effective software for managing hospital information is crucial.

This application offers a means to record and access this information
straightforwardly. The existing hospital management systems possess
fundamental functionalities required for hospital operations, yet they lack
intelligent features. Within the current framework, the receptionist is
responsible for manually monitoring patient information, doctor availability,
and prescribed test details. Manually checking bed availability for patient
admission is a time-consuming process. Moreover, there is a lack of an
efficient method for searching patient information. The management of the
hospital's financial system and maintenance of doctor records present
challenges using the current system. The system's security exhibits several
vulnerabilities. Addressing these issues is the primary objective of the
proposed model.
PROPOSED SYSTEM

 In my latest system update, I'm addressing the identified issues by introducing

an automated solution that comprehensively manages the entire hospital
process. The integration of software seamlessly oversees the system, offering
patients a consolidated view of billing, collection, discharge details, and
medical history. The proposed system not only streamlines inquiries but also
expedites decisions on bed allocation and facilitates efficient bed transfers.
Equipped with a robust search feature, it enables easy access to diverse
patient history-related information. Automation enhances user convenience,
eliminating manual input of dates as the system automatically timestamps
data storage. Designed with user-friendliness in mind, this system ensures
accessibility for individuals with limited technical proficiency, promoting easy
comprehension and utilization.
Project Objective

 Enhance operational effectiveness for Doctors, Nurses, Receptionists, Triage

Nurses, and patients.
 Provide more timely, accurate, and complete information using technology.
 Improve service quality and speed through information technology.
 Enhance internal and external communications using technology.
 Optimize features and functionality to support increased automation.
 Streamline system usage for improved operational efficiencies.
JUSTIFICATION

 This project is justified because the problem it addresses is critical, and

involves people's lives. Given the significance of such issues, urgent attention
is essential. The system will also assist patients in avoiding unnecessary time
and financial losses. By checking the website for doctor availability
beforehand, individuals can find alternatives instead of making an
unnecessary trip. Regarding medical files, implementing this system will
streamline the workflow for all staff, particularly during healthcare ministry
controls. The system ensures that no data is missing, eliminating the need to
spend an entire day consolidating books from various service departments.
This will ultimately make work processes more efficient and faster.
SCOPE

 The project will primarily focus on creating and updating the medical files of
the patients and showing the availability and schedules of specialist doctors.
Patients will be able to book appointments, and the billing functionality will
be considered optional, to be added at the project's conclusion, contingent
upon the successful implementation of all other functionalities
LIMITATIONS OF THE SYSTEM

 This constitutes the entire scope of the project. No other functionalities

beyond those specified will be covered. For instance, there will be no updates
about doctors' availability and schedules in a context other than the medical
facility. The system will strictly be web-based initially, with the possibility of
later conversion into a mobile application.

LITERATURE REVIEW
Introduction

 This section provides a comprehensive review of the existing literature

relevant to the study's objectives. It encompasses previous research
conducted on health information management systems at local, regional, and
global levels. The chapter further elucidates the definition of health
information management systems, explores their implementation
components, and outlines the challenges associated with them.

Case for the Proposed System

 The proposed hospital management system will empower users with

administrative privileges to efficiently store information for reference,
reporting, and analysis. This system will facilitate the analysis of extensive
data sets, offering a straightforward and user-friendly graphical interface.
Users will be able to display patient records, access forms, and generate
comprehensive reports on various aspects of hospital information.
METHODOLOGY
Introduction

 Creating a thorough Hospital Management System (HMS) necessitates a careful

and clearly outlined approach. This approach involves conducting thorough
primary and secondary research to guarantee an effective system design,
development, and implementation.
Techniques for Uncovering Facts

1. Interviews
Perform interviews with various hospital personnel (including
management, doctors, nurses, and administrative staff) as well as
patients to pinpoint specific requirements and challenges within existing
processes.

2. Observation
By closely observing how patients are attended to daily, one can gain
insights into the functioning of the proposed system. This approach will
provide a more comprehensive understanding of the system's operation
and help identify the specific requirements of the system.
Continuation

3. Laboratory Research
Through laboratory research, it will help me acquire knowledge from the
laboratory equipment and medicines which will guide me through the
development of the system.
