MANAGEMENT SYSTEM.
ABOUT THE SYSTEM

It’s a desktop system that helps in reservation, serving of meals and


room details of a hotel.
Develop using a visual basic language and access as a database
Database and language use is easily understood by the computer
and gives efficient results, for it gives quality features used in
writing a project.
The system Microsoft operating system uses windows 7 and 10
OBJECTIVES.
Ensures efficient and reliable communication within the hotel.
It enable automated data entry methods
Avoid data entry errors by use of input mask.
Enforce security measures to avoid unauthorized access to guest
records
ABSTRACT

The purpose of the project is to computerize the front office management of hotel to develop a software
which is user friendly, fast and cost effective.
It deals with collection of guest information ,room allocation and foods to be served.
It also entails employees details and the admission process .
The system’s main function is to register and store the guests details and also retrieves this information
when required
The data in this system are well protected by use of passwords for personal use and makes the data
processing very fast.
LITRATURE REVIEW
The system is designed to centrally manage hotel activities.
The materials in system writing includes ; identification of
inputs ,files ,processing ,output, hardware ,costs , accuracy , response time
and control..
The base file of the hotel creation , room allocation and booking facility are
defined in the master file of hotel module and other main processes such
room allocation, room charges ,meals offered at the hotel and other services
are available in the transaction file.
As compared to other nearby hotels , Baraka hotel management system tends
to provide the best service to the customers for to trace its location is easy to
trace , reliable for its easily accessible by everyone and operates twenty four
hours daily.
DEFINITION OF TERMS AND ABBREVIATIONS
Housekeeping-this is the department which is responsible for cleaning
and maintaining the guests rooms.
Front desk-its an area where the guests check ins and check outs.
Allocation-this is the process of assigning rooms to the guests.
Booking-it’s the act of reserving accommodation to the guest.
BACKGROUND INFORMATION OF THE SYSTEM
The system incudes registration of new customers , storing there
details ,billing in their duration of the stay ,food eaten , and the reservation
the guest wants the system can be entered using the user name and the
password and its accessible by either the receptionist or the administrator.
The system is user friendly ,powerful ,flexible and designed to give
conceivable benefits to the hotel.
The system software improves the hotels efficiency , quality services to the
hotel and management of the areas of room assigning process and activity
based costing
Methodology
The methodology of the system involved the following stages;

Required analysis-identify the document the specific needs and requirements of hotel including the billing, reservation, check
in and check outs and other management functions.

System design-it includes the database structure, user interfaces and system architecture

Development- implement the system based on approved design. Follow coding standards, best practices and use appropriate
technologies.

Documentation-includes user manuals. system architecture and necessary technical documentation.

Maintenance and support-establish a system for ongoing maintenance and provide support to address any arising issue within
the hotel.

Scalability considerations design the system that’s scalable to accommodate future growth and any changes that a hotel needs.

In this process the system follows the procedures till the accurate information is retrieved in the system

assignment and handling guest features.
Housekeeping management-tracks room status ,cleaning tasks and manages

Billing –tracks payments and manages billing details for the guest.

revenue by providing efficient tools and processes for
reservation management , guest services and resource
allocation.

Inconclusion ,this system will help users to feel secure with the
system and the that implementations makes it to be acceptable . The
problems encountered includes : time constraints ,lack of
cooperation ,virus attacks and lack of computers.

Unreliable findings-the fear among employees was not there , it could have enabled the analyst to gather more
reliable information and a good system will have been created.
