CCMs membership renewal steps

STEP 1
Step 1: The Task Force Committee shall ask each constituency to prepare and submit a list of organizations proposed to participate in the membership renewal.

The TFC shall review and satisfy itself that, as much as possible, key organizations contributing to the management and control of the 3 diseases are included. CALENDAR : from October 16 to October 30

STEP 2

The Task Force Committee shall review and approve the Guidelines for Constituency on how to Renew CCM Membership 2011 and the Action Plan to ensure they conform to the Global Fund Requirements and can be complied with by the constituencies.

STEP 3
The Task Force Committee will issue the Guidelines for Constituency on how to Renew CCM Membership 2011 and the Action Plan to all organizations participating in the membership renewal/ constituencies

STEP 4
The constituencies will confirm their preparedness to organize the renewal process and submit a documented process and a timeframe to the Task Force Committee. The documented process shall include i) the organization that shall coordinate the selection, election or nomination; ii) the method that shall be used for selection, elections or nomination; iii) a list of organizations that will participate in the selection/election process; iv) the venue, v) names of the presiding officers; vi) process for potential candidates to register; vii) qualification criteria to be met by candidates .

STEP 5
The Task Force Committee shall review the documented processes received from each constituency to ensure compliance with the Global Fund membership guidelines. The Task Force Committee in consultation with the CCM Chair shall make arrangements to assist those constituencies that need support to renewal membership.

STEP 6
The Task Force in consultation with the CCM Chair shall announce the membership renewal in the media indicating the dates the constituencies shall conduct the selection, election or nomination, the venue and the contact persons. The announcement will encourage constituency stakeholders to participate

STEP 7
Constituencies shall organize and conduct the selection, election or nomination as indicated in their timeframes. The constituencies shall ensure that adequate documentation of the selection, election or nomination process including minutes of the proceedings, date and time, venue, list of participants and the organizations they represent, presiding officers, method of selection, election or nomination and the name of the member(s) and alternate(s), complaints received is made.

STEP 8-9-10
Step 8: Constituencies will submit returns to the Task Force Committee including names of member(s), names of alternate(s) selected, elected or nominated and supporting documentation Step 9: The Task Force in consultation with the CCM Chairperson shall announce the names of the CCM members and the names of the alternates in the local print media. Step 10: The CCM will allow one week before the list of names of the new CCM members is finalized. This will allow for complaints and appeals to be submitted and resolved. Step 11: The Task Force Committee will finalize the list of the CCM members and alternates and submit it to the CCM Chairperson.

STEP 13-13
Step 12: The CCM Chairperson will publish the names of the new CCM members and alternates in the local print media as well as officially notify the new members and alternates of their CCM membership
Step 13: The CCM chairperson will call the first CCM meeting where the new members shall be introduced and the old members exit.
