INTRODUCTION:
o Planning plays an important role in Organization.
o It provides the information top management needs to make
effective decisions about how to allocate the resources in a way
that will enable the organization to reach its objectives.
o It reduces the risk of uncertainty.
o Planning helps an organization to cope with an uncertain future.
o It helps management to anticipate the future and prepare for the
risks by making necessary provisions to meet the unexpected turn of
events.
o Traditional project management faces several challenges in
business. These challenges include communication, control,
competence, culture, and complexity Small businesses, in particular,
struggle with implementing project management due to various
difficulties .
COMMON ISSUES WITH MANUAL PLANNING
AND TRACKING PROCESSES :
o Lack of Visibility: This is an area of concern when it comes to manual
methods—the sheer complexity makes it difficult to keep track of who’s
working on what. And with the lack of visibility, case managers may not
be able to gauge progress or make an estimation of when the case will
most likely be resolved.
o Time Management Issues: Case managers have to be able to delegate
tasks seamlessly and bring about resolution in the shortest possible
duration. Manual tools simply aren’t geared up to make this happen.
o Vulnerability to Errors: The more manual the process is, the more they
have to take care of and the more mistakes they will likely make. With
manual tools, accurate documentation becomes difficult contributors
may create multiple amendments resulting in many versions of the same
document ultimately leading to confusion.
o Scattered Information: Effective case management requires timely
access to important information. And case managers also have to drive
context and take timely action based on the information they have in
hand. With manual tools, the required information and data exist in

o Real-Time Collaboration: People working together at the same time even


if they’re in different places. And the online collaboration tools
available are just as varied as the types of collaboration they enable.
For example, desktop sharing. Using a feature that allows you to share
your device screen with others allows them all to see exactly the same
thing so everyone can collaborate at the same time with the same
context.
o Task assignment and tracking: A task tracker is an intelligent version of a
to-do list that can help manage tasks and assignments. Team members
can use task trackers individually or together as a team. These tools
allow team members to list their essential projects, prioritize them, and
mark them as done when the tasks are complete.
o Reporting and analytics: Reporting is the process of gathering and
presenting data in a structured format such as graphs and tables.
Organizing information in predefined KPIs and metrics makes it easier
for you to understand what is happening. Analytics is the process of
analyzing your data to identify patterns and gain insights.
o Integration capabilities with existing tools: Integration
capabilities with existing systems is a crucial aspect when
considering cost estimating software. It allows businesses to
seamlessly connect their software with other tools and systems,
enhancing efficiency and streamlining processes.

THE ADVANTAGES OF IMPLEMENTING
THE SOLUTION :
o Increased productivity and efficiency: Increasing productivity means we
create more products (finish more work) in the same amount of time.
Increasing efficiency means we use fewer resources (or less total input) to
complete the same amount of work.
o Improved resource allocation: Ensure work is divided evenly among all
resources to prevent staff burnout. Empower teams by ensuring resources
have the skills, knowledge, and training necessary to complete allocated
work. Ensure engagement performance is optimized by matching the right
resources, to the right task, at the right time.
o Enhanced visibility and transparency: While visibility and transparency are
related concepts, they are not interchangeable. Visibility provides shippers
with real-time tracking and tracing capabilities, while transparency goes
beyond this to provide customers with a more comprehensive view of the
logistics process.
o Better decision-making through data-driven insights: Data driven decision
making relies on analyzing collected data using different data collection
methods to answer questions and find insights that can inform judgements,
help determine the right course of action, and guide overall strategy.
THE STEPS FOR IMPLEMENTING THE
PLANNING AND TRACKING SYSTEM :
o Assess current workflows and processes: A workflow process is a set
of steps or tasks to complete a specific process or job within an
organization. It defines the sequence of activities, who is responsible
for each task, and what tools or resources are required to complete it.
Analyzing workflows is a way businesses can exert control over their
processes and identify opportunities for (or obstacles to) process
improvement. Sometimes the analysis happens in response to missed
targets or poor performance.
o Customization and configuration of the system: Configuration is
simpler and less costly since it relies on using the software's inherent
features and settings. Customization involves making changes to the
software's core code to add new features, change its behavior, or
integrate it with other applications.
o Training and onboarding for users: User onboarding is the process by
which new users become proficient in an application. User onboarding
encompasses the initial experience in the application, online or offline
training, goal-setting, and the organization's customer success process.
DEALING WITH THE MOST DIFFICULT
STAKEHOLDERS AND ENSURE OUR
PROJECTS MOVE FORWARD.
o External stakeholders need to understand why the organization
exists and what value it provides for its customers, vendors, and
the market. Internal stakeholders need to know where the
organization is going so they can align their work with those goals
and direction.
o The primary role of stakeholders is to define business goals and
develop plans that help them achieve those goals. In addition,
these stakeholders periodically review business operations and
strategies to find more efficient methods. They also access
employee performance to ensure they align with growth
objectives.
CONCLUSION :
o From the topic, I came to conclusion that stay up to date and get
the most accurate information available. Everyone involved in the
project needs to see the status and progress of the project in an
instant.
o With project tracking, there is no place for problems or issues to
hide. Any budding issues are recognizable in an instant. This allows
leaders to act and take back control of the situation.
o Collaboration is a key factor of every project. If every member has
clarity on their role, they can work toward the group objectives.
o Reporting is often a painful task that project managers are required
to do. Senior management want an overall view of each of the
projects in an instant.
