INTRODUCTION

There are four Purposes of Communication


- to inform
- to instruct
- to influence
- to entertain
The main purposes of business correspondence are to promote, maintain
goodwill and gain business. When writing, apply the best methods to influence
your clients and colleagues favorably
THE WRITING PROCESS

 There are three Steps in the Writing Process


1.Planning – write down all your ideas on the topic
2. Writing – arrange your thoughts in logical groups
- compose
3. Rewriting/ revising/editing (proofread) – produce
- your dictionary, internet should always be at hand to check the correct
terms, expressions, grammar, spelling, sentence structure

PLANNING STEPS

WHEN YOU PLAN, DO THE FOLLOWING:


 Analyse the situation – investigate
 - adapt
 Gather the information – use your judgement
- about the content of your message
- about your audience (knowledge and
culture)
 Select the medium - is it traditional or electronic?
 Organise the message – is it direct or indirect?
2. BEFORE YOU START WRITING
A. SELECT THE CONTENT

 Do your research - it is so important to write intelligent texts based on


facts, knowledge and well considered opinions
- use the library and internet correctly, conduct
interviews and participate in discussions with
other people
 Gather ideas - think carefully about the topic of your ideas before you write
- use any of the methods for generating ideas
A. SELECT THE CONTENT CONTINUES

 Select your sources carefully - study information and check their


truthfulness

 Go through your content - group together appropriate ideas and


information
- remove those ideas that are irrelevant

2.1 ORGANISING THE MATERIAL

 Sections of business documents - any communication should include


a beginning, middle and an end
 Arrangement of material - material can be arranged according
to natural order or topical
relationship .i. e. divide the main idea
(thesis) into subdivisions
 Arrange your work in order - you may use chronological order, ascending/ descending

order of importance (Refer to page 9 of your study guide)


2.2 ORGANISING MATERIAL CONTINUES

 Break down paragraphs - each paragraph should consist of a topic


sentence (something you learned in PLU) and
supporting ideas

- decide on the content of your introductory and


concluding paragraphs
