Proper Uses of Communication Technology
4
1. There is timeliness in transaction-dependent business relationships, e.g., business contract
negotiations, credit card, and loan applications. Best Practice: Use technology to speeds the
ease of business transactions for better customer service.
2. Large files are easy to store and electronic copies of files reduce the need for stored hard-
paper copies of files. Best Practice: Store large proprietary files only in locations that require
layers of access and security for retrieval.
3. Large teams can collaborate on complex projects, including employees from any geographic
location with internet access, by sharing files via email attachments, or other file downloads.
Best Practice: The team leader or project manager should be the one who establishes a
protocol for coordination of file sharing and production schedules.
4. Search engines such as Google Scholar and Bing make it possible to gain access to and
organize billions of pages of information from the internet. Google Citations also hosts pages
for university faculty to post their research and know who is also citing their research. Best
Practice: Use free resources as a first step in information gathering and researching a topic.
5. Access to government information and documents and filing essential documents is practical,
e.g., income tax returns with the IRS, filing an Affirmative Action Plan with the Office of
Federal Contract Compliance Programs (OFCCP, and the detection of cyber crimes. Best
Practice: Use technology to access the plethora of information the US Government has
provided access to online, for free!

 Management has a right to limit internet access
 Employees give implied consent upon notification of
monitoring

FIVE IMPROPER USES OF COMMUNICATION
6 TECHNOLOGY
1. Managerial monitoring is legal; current laws allow companies to read employees’
emails and monitor other electronic communications employees’ produce on
company’s property. The company does own the computers (Turri, Maniam, &
Hynes, 2008). Caution: Do not abuse company technology and hardware by using it
in any way that can be construed as improper.
2. Internet addiction and abuse of the internet in the workplace (e.g. cyber sexual
relationships, scandalous friendships, criminal abuses, and more) are happening
(Griffiths, 2010). Caution: Do not visit pornographic websites while at work.
3. Electronic information can be easily stolen and misused for crime, including money
laundering and terrorism (Choo, 2009). Caution: Do your personal online business
at home.
4. In bankruptcy proceedings and other highly emotionally charged business law cases,
embarrassed lawyers have seen their usage of obscene language in court
proceedings becoming a part of the official written record (Schnelling, 2009).
Caution: Do not put curse words or invectives of any sort in writing.
5. Confidential records can be copied, distributed, and sold which undermines
consumer safety and protection (Choo, 2008). Caution: Do not abuse or misuse
other people’s information by being careless with how you retrieve, store, and delete
their information.
