ACCOUNTS
Accounts are fundamental records in financial systems used to track and manage
financial transactions and balances. Different machines are used for different purposes.
These are some of the machines:
a) Adding machine:

 Used for adding and


subtracting figures.
b) Cash register:

 Used for preparing cash


receipts.
c) Calculating machine(calculators):

 Used for all types of


calculations.
d) Accounting machine:

 Used for posting information


to ledgers and preparation of
payroll.
e) Computer:

 Used for complex calculations.


f) Money counting machine:

 Used for counting coins and


notes.
COMMUNICATION

Communication is the passing of information from one person to another. Through


communication, messages may be passed among people within the organization and
outsiders. The office is the centre to and from which the information flows. The office
therefore serves as the centre of communication. The following machines are used:
a) Telephone:
 Used to send and receive
messages.
b) Tele-printer (telex machine):

 For printing messages which


are telexed.
c) Facsimile (fax machine):

 Used to transmit printed message


such as letters, maps, diagrams
and photographs.
DUPLICATING
i) Photocopier:

 Used to reproduce documents.


ii) Printing machine:

 Used to reproduce documents.


iii) Stencil duplicator:

 Used to reproduce documents.


iv) Office lithography:

 It is used to reproduce documents


using a camera and the
information on the films used to
produce an image on a flat sheet of
metal called a plate.
GENERAL OFFICE
a) Guillotine:

 For trimming documents into


required shapes and sizes.
b) Paper punch:

 To make holes in papers to facilitate


filing.
c) Stapling machine:

 For pinning papers together.


d) Staple remover:

 To remove pins from papers.


MAIL ROOM
i) Folding machine:

 Folding letters and sealing


envelopes.
ii) Franking machine:

 For printing postage impressions


on envelopes.
iii) Addressing machine:

 For printing address on mail.


iv) Sorting machine:

 For sorting letters .


v) Letter opener:

 For opening letters.


vi) Composite:

 To fold documents, place them in


envelopes and seal the envelope.
TYPING POOL
a) Typewriter:

 May be manual, electric or electronic


for typing letters, reports and so on.
b) Dictating machine(dictaphone):

 For making shorthand dictations and


recording information on tapes.
c) Paper shredders:

 Cutting unwanted documents into tiny


pieces to avoid such documents getting
into wrong hands.
d) Duplicating machine:

 For reproducing documents from a


master copy(stencil).
