• Pre-initial phase: TEAM creation

1. Project Selection (12.11.2008- 19.11.2008)
• Brainstorming possible projects;
• Selecting 3 possible projects
• choosing the most suitable project and adjusting it
• =>Prior estimation of how many people are going to come?
• Triple Constraint:<> Budget affordability
• Time (deadlines for each phase, project realization- 28.02.2008-
09.03.2008)
• Cost (initial own estimation)
• Deliverables:
d. Project Overview, Cost estimate, Project schedule (GANTT chart,
PERT chart), Test plan etc.
e. meeting the objective, sticking up to the budget (DO NOT CROSS
IT), meeting the deadlines

 2. Project Concept (12.11.2008- 19.11.2008)

• Defining project’s objective and target people;

• Divide responsibilities;
• Scheduling the trip=>efficiency, flexibility, taking all possible risks into
consideration
• Networking for: trip characteristics, transport companies, student hostel
accommodation through Europe, initial selection of TR CO and Hostels,
contact TR COs (details of trip, stage 1 of Negotiation) & check available
reservation cost reduction.
• Initial presentation of the project=>tracking for potential participants=> 1st
stage of informing people

 3. Project Plan (20.11.2008- 05.12.2008)

 Define project manager- ZACON Cristina

 Divide responsibilities and assignments:
• Amandine– hostel accommodation
• Chafik (+ Cristina)– places to visit
• Mircea & Bensaya– business project and sponsorship
• Bleunvenn (+ Cristina) – transport and time management
• Meriem & Lydia -treasury and financial resources
 Create leaflets for EUROTRIP;
 Plan method of payment
 2nd Stage of looking and motivating sponsorship;
 time schedule of payment
 2nd Stage of informing people=>confirmation of exact number of
participants

 4. Project Development (06.12.2008- 20.01.2008)

• Selecting TR CO and stage 2 of negotiation (principal and back-up solution);

• Selection of Hostel for each city (principal and back-up solution);
• Final Cost estimation;
• Collect rates (advance payments) + schedule payments timeline;
• Pay 1 part TR CO and Hostels

5. Qualify Project (TEST) (21.01.2009- 07.02.2009)
– Check for attained deliverables and prepare test plan
– Lay out a timeline for when and how exactly testing will occur

6. Rollout (08.02.2009-20.02.2009)
– Sign final contract with TR CO
– Confirm reservation
– Making necessary adjustments and changes
– Pay 2nd part TR CO and Hotels
